School & District Data Filtering Instructions

Instructions for filtering data in the public schools and districts data file.

The California Department of Education (CDE) posts public school and district data on the Public Schools and Districts Data Files web page. The public schools and districts file includes both district and school-level records that are active, pending, closed, and merged. To fully understand, retrieve, and organize the data contained in this file, we have provided some basic filtering instructions below. We also highly recommend that you review the File Structure: Public Schools and Districts web page for details and descriptions of the data contained in the file.

Microsoft Excel 2019 was used to create the following instructions.

Creating Filters in Microsoft Excel Worksheets

To create a filter on worksheet columns:

  1. Place the active cell within the data set
  2. Select the DATA tab located in the Ribbon
  3. Within the Sort & Filter group, select Filter
  4. Select the down arrow in the desired column header to display a list in which you can make filter choices

Please note that filters are already applied to the public schools and districts downloadable data file that is available on the CDE website.

Filtering District-Level Data in Microsoft Excel Worksheets

To retrieve only active or soon-to-be active (pending) district-level records, you will need to filter for:

  • StatusType = Active or Pending
  • SOC = No Data
  • DOC = 00, 02, 03, 52, 54, 56

District-level records have only one superintendent. The superintendent information will be found under the following fields in the district-level records:

  • AdmFName, AdmLName, AdmEmail

Filtering School-Level Data in Microsoft Excel Worksheets

To retrieve only “traditional K–12" active or soon-to-be active (pending) school-level records, you will need to filter for:

  • StatusType = Active or Pending
  • SOC = 60, 61, 62, 64, 65, 66, 67

If you wish to obtain a list of schools other than “traditional K–12” schools, refer to the File Structure: Public Schools and Districts web page for additional School Ownership Code (SOC) values and their definitions.
