File Structure: Staff Assignment Record

This table below contains the structure for the staff assignment record. This file contains specific assignment data for all K-12 California public education certificated teachers, administrators, and pupil services personnel.

Note that for pupil services and administrative class, the "assignment code" is populated, while for teachers, information about the specific class and class section is populated (Class ID, Class Section ID, and course code).

Academic year for the data. This data is collected on the first Wednesday in October. For example '1415' would indicate that the Academic school year is 2014–2015 and the data was collected in October 2014.

RecID

This code is a randomly generated number assigned to each staff. The code assigned for one year may not be the same code assigned to the same staff member for another year. Therefore, the code cannot be used to match records over time.

DistrictCode

This 7-digit code is the official, unique identification of a school district or county office within California. The first two digits identify the county and the next five digits identify the school district.

SchoolCode Character 7 This 7-digit code is the official, unique identification of a school within California.

StaffType

This code indicates the type of staff assignment in the record. The field is coded as follows:

  • A = Administrator (AssignmentCode must be submitted)
  • P = Pupil services (AssignmentCode must be submitted)
  • T = Teacher (CourseCode or AssignmentCode (for non-classroom-based assignment) must be submitted)

This is the Non Classroom based or Support Assignment code from California Longitudinal Pupil Achievement Data System (CALPADS).  An example of an administrative code is principal (0301). An example of a pupil services code is psychologist (0202). See CALPADS Code Sets for a completing listing of codes at the CALPADS System Documentation Web page for more details.

Note: This field will be populated for administrators or pupil services staff (StaffType = "A" or "P"), or teachers (StaffType = "T") with a non-classroom-based assignment.

For teachers (StaffType = "T") with a classroom assignment, this field will not be populated.

ClassID

A unique identifier for a Class assigned by a local educational agency. The Class ID must be unique within a school by Academic Year. A Class ID represents a unique class in a school for an academic year.

A Class is defined as a specific instance where one or more Course Sections are delivered to one or more students by one or more teachers. In most cases, a Class would represent a specific teacher teaching a specific Course Section to a set of students at a specific time at a specific location. In another scenario, a class could represent one teacher teaching multiple Course Sections to groups of students at the same time in the same location.

Note: This field will be populated for teachers (StaffType = "T") with a classroom assignment.

For administrative or pupil services staff (StaffType = "A" or "P"), or teachers (StaffType = "T") with a non-classroom-based assignment, this field will be blank.

CourseCode

This 4-digit code is from an extensive list of state course code numbers for teaching assignments. For a list of all codes and course and assignment titles, use the assignment code file posted on the Staff Assignment and Course Data Web page.

Note: This field will be populated for teachers (StaffType = "T") with a classroom assignment.

For administrative or pupil services staff (StaffType = "A" or "P"), or teachers (StaffType = "T") with a non-classroom-based assignment, this field will be blank.

EstimatedFTE

Estimated FTE is an estimate obtained by taking the total FTE for each staff member by job classification and then dividing it by the number of job assignments and/or classes for each staff member.
