Subject: CAPSDAC Update #5

The California Preschool Data Collection (CAPSDAC) System Support Team is transitioning to the ServiceNow Customer Service Portal, a centralized, cloud-based platform designed to improve efficiency, tracking, and responsiveness for CAPSDAC-related help requests. This transition will streamline request management by replacing current email submissions with an automated system that enhances request visibility, ensures proper routing, and improves response times.

As part of this transition, the CAPSDAC inbox (CAPSDAC@cde.ca.gov) will no longer respond to emailed technical assistance requests after May 31, 2025.

Effective April 2, 2025, all CAPSDAC support requests should be submitted through the ServiceNow portal, which will provide:

  • Real-time tracking of support requests.
  • Automated request routing for quicker responses.
  • A self-service knowledge base for frequently asked questions and troubleshooting.
  • Improved organization and transparency in request handling.

Who Will This Impact?

This change will affect:

  • LEAs submitting CAPSDAC-related support requests.
  • Contractors and agency staff who currently use the CAPSDAC email inbox for assistance requests.
  • All CAPSDAC users who currently submit requests for assistance through the CAPSDAC email inbox.

CAPSDAC support team will no longer oversee the CAPSDAC@cde.ca.gov inbox after May 31, 2025. Therefore, all CAPSDAC users  will instead use ServiceNow to submit and track requests.

What Happens After the CAPSDAC Inbox is Retired?

  • April 2 – May 31, 2025 – The CAPSDAC inbox (CAPSDAC@cde.ca.gov) will remain operational, but all CAPSDAC users will be strongly encouraged to submit support requests through ServiceNow instead. Emails sent to the CAPSDAC inbox will receive an automated reply with a reminder to use ServiceNow, along with a direct link to the portal. During this transition period, responses will still be provided via email, but the focus will be on migrating to the new system.
  • May 31, 2025 – The CAPSDAC inbox will be officially retired and will no longer be monitored. Any emails sent after this date will receive an autoreply indicating that the inbox is no longer in use, and that all support requests must be submitted through ServiceNow. No further responses will be provided.

This transition replaces the email-based request system with a modern, structured, and transparent platform. By utilizing ServiceNow, we are enhancing the support experience, making it more efficient, organized, and responsive support experience for all users.
